Operations Manager

Position: This role is critical in the flow of business at our firm. It includes coordinating with clients, supporting advisory initiatives, and in charge of back-office operations. With responsibility for the daily operations details, the Operations Manager ensures clients have a wonderful experience. Summary of Expectations: We are looking for an individual who demonstrates superior attention to detail and understands how to provide excellent client service. This position will be responsible for required daily activities to process critical documents in a timely fashion. The position will have constant interaction with clients relating to the processing and follow-up of any business activities as required.

 

Examples of Duties:

  • Utilize technology in multiple capacities for daily operations, including client relationship management, report creation, new account creation, account changes and tracking thereof.
  • Prepare and verify accuracy of information for all client forms, applications, and other related documents.
  • Process new accounts, account transfers, new contributions and redemptions, beneficiary changes, and other service requests accurately and promptly.
  • Employ existing procedures to track and monitor progress on all document processing.
  • Maintain industry-specific compliance.
  • Maintain and develop client relationships through consistent contact with clients during various processes.
  • Schedule and confirm appointments.
  • Service clients and process a wide range of client requests.
  • Correspond with clients through a variety of methods at all stages in the service experience.
  • Maintain and develop business relationships.
  • Consult with custodians, affiliated firms, businesses, and vendors to conduct normal business-related activities.
  • Process incoming and outgoing mail. Evaluate supply inventory and reorder as needed.
  • Assist in ensuring an impeccable client experience.
  • Perform other duties as assigned or required.

Minimum Qualifications:

  • Degree appreciated, work and life experience will be given preference.

 

Additional Requirements:

  • Must be proficient in word processing and current spreadsheet software.
  • May be required to move and/or transport heavy, bulky supplies, materials and/or other items weighing up to 40 pounds.
  • May be required to work outside the traditional work schedule.
  • Must complete fingerprint and background check and produce a clean criminal background.
